The Fine Print

1. About this info:

This info was designed for larger events in a region surrounding San Luis Obispo, CA. defined as the city of Arroyo Grande to the city of Atascadero. It is priced for 95- 250 guests at the average event hall within this area. Prices may vary for outdoor events or events outside of this area. Price adjustments for other size groups are shown below.

2. Booking our Services:

A deposit of $500.00 is required to secure an event on our calendar. We do not “pencil in” bookings. This deposit is non refundable but will be credited to your final bill. Changes in the date or cancellation of the event will result in the forfeiture of the deposit. We take deposits with check, money orders, cash, or Visa and Mastercard. When you book, please include a note with the details of your event, your address and phone numbers, etc. will send to you a receipt to guarantee to you that your event is locked in.

3. After Booking, Consultations and Time Line:

Two consultations are provided with your booking if required. The first should be done at the event site (if it is unfamiliar to us) to discuss your event in general so that we may determine any special needs and charges. The second (at least 60 days prior to the event) should provide all of the information necessary to produce your contract; timing, menu, linen colors, etc. This may be accomplished over the telephone. Your time line is as follows:

  1. After booking your event. Within 30 days after booking, please let us know the type of service which you will be requiring. Plated or Buffet and the type of service style which you desire. All of our bookings are based upon this information. Failure to provide this information may cause the loss of your priority position on the calendar. i.e. If you decide that you wish to have Continental Buffet Service but don’t tell us this information on time and clients who book after you have secured all of our classic china, you may not be able to utilize that service level without paying additional rental charges. Please, make this decision a priority so that we do not run into this problem. Thank you.
  2. Have first general meeting to discuss your event.
  3. No later than 60 days prior to your event, second meeting or phone conversation regarding all of the details of your event.
  4. Contract produced, signed and returned to us no later than 30 days prior to your event.
  5. 10 days prior to your event, call us with your guaranteed attendance. We will provide 5% more food than your guarantee. You will be charged for your guarantee or the actual number of attendees, whichever is the greater. Also, please include in your count any professionals which are attending which you wish to feed (photographer, D.J., band, etc. ) They will be charged a reduced fee.
  6. 7 days prior to your event, Phoenix will call or fax to you an itemized statement for your event.
  7. 5 days prior to your event, your final payment is due. Failure to pay on time may result in preparation of your event being placed on hold. i.e. No Payment, No Event.
  8. h. Event Billing after for any party overtime or attendance over your count. Payment required within 30 days.

4. How we operate and add-on charges:

  1. Your menu package is designed and priced for certain lengths of service. Included with the price are 6 hours of time. One hour pre-event set-up, four hours of event, and one hour of post event clean-up. This does not include any set-up or breakdown of tables and chairs.
  2. Unless the party is held at your home, all leftovers are the property of the caterer because of liability insurance and Health Department considerations.
  3. Outdoor event sites that require extra set up time or are difficult sites will result in extra in and additional charge.
  4. Because all sites vary in what they provide, set-up and breakdown of tables and chairs and basic janitorial of an event site are not included in the prices shown. If you desire us to provide this service, it is charged at $ 2.00 per person. If you require a chair switch during your event from ceremony site to dining tables, that is an additional .50 per person.
  5. We do not set-up or move wedding cakes. We do provide cake cutting services at no additional charge.
  6. We prefer to handle any rental requirements for your event. We are much more aware of the requirements to make your event successful and it makes for fewer errors if we handle it. Because we receive a slight discount of the rental fees, we do not charge for this service. You will pay just what you would if you handled it yourself. If your site does not have adequate kitchen facilities, we will rent what is necessary for us to handle your event and it will be billed to you.
  7. All goods and services will additionally be charged an 18% service fee and, currently, a sales tax of 7.75%.
  8. Any unreasonable loss, breakage, or theft of Phoenix Fine Catering property will be billed to you.
  9. You must select someone who will be responsible for interfacing with our staff on the day of the event. It may be yourself, your coordinator, or someone else of your choosing. They will be the only person who has the authority to alter details of the event from that which has been established with you and is in the contract.

5. Bar services:

We do not have a liquor license nor are we licensed as a server of alcoholic beverages. We can however provide limited beer and wine bar service under the following conditions:

  1. We are not stretched too thin in securing help in providing food service.
  2. It is the service of Beer and Wine only and it must be in bottles. No keg service. Kegs are often wasteful and function poorly due to improper handling and pump mechanisms which are not operating properly. Bottled beers and wines must be prechilled prior to arrival at the event site for service and must be delivered no later than one hour prior to the start of the event.
  3. Set-up of a bar including linen with ice is a charge of $35.00. Extra ice is charged at $20.00 per 50 lbs. Labor is charged at $18.00 per hour from set-up to breakdown of the bar.
  4. If we are unable to handle your bar service or you require hard alcohol service, we can recommend bar services for you to contact and hire.
